How does the use of data alerts create added value for companies?

With the use of data alerts, operational processes can be made more efficient and resources can be used better – an overview based on three use cases.

Especially in larger companies, managers have many tasks and employees to supervise, so it is easy to lose track of what each employee is working on at any given time. Due to the high density of information and lack of transparency, problem cases are often addressed too late, and significant consequences can occur if appropriate actions are not taken in a timely manner.

Data Alerts can be used as a technical solution for this scenario. These send automatic notifications to the responsible manager if a problem occurs with the data. This makes it possible to always keep an overview over all the essential areas of the company and to intervene directly in the case of error messages as well as to initiate measures. This results in significant advantages, such as better transparency and a good overview in everyday work, faster problem solving, automatic calculations of relevant key figures and much more. Who exactly receives these notifications and from which thresholds can be precisely defined during implementation and can be adjusted at any time.

In order to gain an insight of how exactly data alerts can be used in a company, the use cases for the areas of sales, production and data quality are considered below.

Successful customer care is an important goal in sales, which is why a sales manager wants to optimize sales figures, improve customer loyalty and have a clear overview. Due to a large number of employees, existing customers and potential customers, there is an excess of information and a lack of transparency, so that, for example, customer visits cannot be optimally planned. Additionally, human bias factors into the planning, causing some customers to be visited more frequently than others, leading to significant gaps and irregularities between customer appointments. This unfavorable starting situation can be made more efficient through the use of data alerts, as in problematic cases, in addition to automatic alerts, there is also a live data connection and Teams integration. This will, for example, notify the sales manager if a customer has not been contacted for more than 2 months.

Sales employees can therefore make more independent and data-based decisions, time and money can be saved and better customer loyalty can be achieved.

As a production manager, monitoring a company’s production lines is one of the daily tasks. Here, the goal is to achieve both a better overview and an improvement in production efficiency. However, this is made more difficult by the fact that maintenance periods for machines are difficult to plan, there is a lack of transparency, there is a lot of information and set-up periods are not optimally planned. By using data alerts, all production-related data can be queried as live data, and automatic alerts can be sent when there are failures or issues in the workspace. This can lead to benefits such as reducing production time, more precise planning of machine maintenance, and more efficient resource utilization.

The term “data quality” describes how well a database is suited for certain tasks and measures this on the basis of certain criteria, such as the completeness, reliability or availability of data. Data quality plays a major role in a company and is essential for maintaining important data, such as financial or core data. So, for example, if payment terms are incomplete in invoice data, invoices cannot be sent to the customer, leading to complaints or even customer losses. With manual data maintenance, errors can sneak in and thus worsen the data quality. Data alerts can bring significant improvements here, as alerts are sent directly in the case of data loss or discrepancies and the data can therefore be corrected quickly. Through a live data connection, the finance manager is informed about the current data stock and can intervene directly in problem cases.

However, data alerts not only bring added value in these individual areas, but can also be used in a variety of ways. Managers always have a real-time overview of the data situation in their own department and are able to react directly to error messages, so that operational processes can run more efficiently and digitally.
